How to resolve non-working OCR (Text Recognition)

Fix greyed-out Recognize Text buttons, failed OCR, and documents with no extracted text.

What is OCR?

Optical Character Recognition (OCR) is a technology that reads documents and transforms any visible text into a format the computer can read. This helps users extract text from images or scanned documents.

The "Recognize Text" button is greyed out

If the Recognize Text button is greyed out, Text Recognition is either not enabled on your license, or there is a problem contacting the DataSnipper license server.

If your company has purchased the Text Recognition option and the button is still greyed out, please contact your Customer Success Manager.

Text Recognition fails with a pop-up error

If you receive a "Text Recognition has failed" pop-up every time you run it, the Azure endpoint is not accessible. Please:

  1. Ensure your internet connection is stable.

  2. Ask your IT department to verify:

    • Internet connection is working.

    • The correct Azure Endpoint and Azure Key are being used.

    • The Azure Endpoint is allow-listed in your firewall/proxy.

    • Your network environment is configured for DataSnipper.

    • If using a private Azure Endpoint: the Azure usage limit has not been reached.

Your IT department can also check the Azure logs for further details.

The document has no text after running Text Recognition

This occurs with a small percentage of documents, usually those with very low-quality text.

  • If you are using Chinese, Japanese, or Korean fonts, notify your Customer Success Manager to enable non-Latin language support.

  • If you are running DataSnipper below version 4.0.11, please update DataSnipper.

If these steps do not resolve the issue, please collect your Azure logs and reach out to the DataSnipper Support team.
