Common questions about creating, editing, and managing Snips

Can I edit data after snipping?

Yes. After creating a Snip, you can freely edit the data or formatting in Excel β€” the cross-reference remains intact. This lets you summarize source data or adjust wording for your documentation.

Can I undo or delete a Snip?

Yes. Use Ctrl+Z to undo the most recent Snip. To remove a Snip and clear the cell content, use the Delete Snips button in the DataSnipper ribbon.

Can Text Snip preserve the formatting of the target cell?

Yes. Hold Ctrl+Shift while making a Text Snip to preserve the destination cell's existing formatting.

How do I link multiple Snips to one cell?

Hold Ctrl while creating Snips to link multiple document references to a single Excel cell.

Does DataSnipper recognize handwritten text?

Yes, as long as the handwriting is legible. OCR support for handwritten text varies by language β€” check the Azure Cognitive Services language support page for the latest status.

When does DataSnipper apply OCR automatically?

OCR is applied in two scenarios:

  • When you import a document without a text layer (e.g. a scanned PDF or image), DataSnipper will prompt you to run Text Recognition.

  • When you click the OCR button in the ribbon and apply it to selected documents.

Can I extract tables that span multiple pages?

Yes. Table Snip can extract continuous tables across multiple pages. If DataSnipper does not automatically recognize the continuation, click the three-dot menu on the snipped table and select Repeat extraction for the following pages.

Can I edit a Table Snip after it's created?

Yes. After creating a Table Snip, click the minus icon at the bottom of the table to remove a column, or the plus icon at the top to add one. Click the three-dot menu to edit rows similarly.

Can I disable Table Snip suggestions?

Yes. In the DataSnipper ribbon, go to Workbook Settings and toggle off Table Snip suggestions. This setting applies per workbook.

Can Table Snip be used on text in paragraph format?

Yes. Use Table Snip and edit the rows to restructure the paragraphs as needed (add rows to split paragraphs, remove rows to merge them). When you do this, avoid leaving column breaks in the Table Snip; remove unwanted columns with the minus button.

No table header is present. Will Table Snip still work?

Yes. You don't need a header for DataSnipper to recognise tabular data. The auto-suggestion feature does not include table headings by default, so for header rows it's best practice to snip the header manually once.
